Employee System Use Agreement

This system is provided by your employer or the company that authorizes your access (the Company) for its business operations. These terms apply to employees and other authorized workers each time they sign in.
Use the system for authorized work
Use the system and its information only for your assigned, authorized business responsibilities. Do not use it for personal business, unlawful activity, harassment, or activities that disrupt Company operations. Access only the records and functions your role permits.
Keep access limited to authorized people
Your account is for your use only. Do not share passwords, verification codes, recovery links, sessions, or devices while signed in. Do not allow customers, friends, family, vendors, or other outsiders to view or operate the system unless the Company has expressly authorized their access through an approved process. Do not grant remote control, create accounts, connect integrations, or enable external access without authorization. Authorized outside users must receive their own approved access; they must not use your account.
Protect Company and customer information
Protect customer details, job records, pricing, financial information, credentials, and other nonpublic business information entrusted to you. Share it only with authorized recipients for an approved work purpose. Do not copy or upload it to personal email, personal storage, public links, external AI tools, or other unapproved services. Use approved export, communication, storage, and retention procedures. The protected-rights section below applies to these obligations.
Keep your account and device secure
Use a strong, unique password and any required additional verification. Approve only sign-in requests you initiated. Use devices and access methods permitted by the Company, lock your screen when unattended, and sign out when someone else may use the device. Do not bypass access controls, disable security protections, or attempt to obtain another person's credentials.
Maintain accurate records
Enter time, job activity, purchasing, customer, and financial information accurately and promptly. Make only changes you are authorized to make. Do not falsify entries, conceal mistakes, or delete records to avoid review. Report errors and use the approved correction process. Follow applicable retention requirements and instructions to preserve records.
Report security concerns promptly
Promptly notify your manager or the Company's designated administrator if a device is lost, an account may be compromised, information is sent to the wrong person, or you notice suspicious access or requests. Do not continue an activity you believe could expose the system while waiting for guidance.
System records and access management
Where permitted by applicable law and Company policy, the Company may log and review activity within this system for operations, security, troubleshooting, and compliance. This acknowledgement records your account, company, acceptance time, sign-in method, and the agreement version. Access may be restricted or revoked when no longer authorized or when misuse is investigated. Violations may result in action consistent with Company policy and applicable law. This provision does not authorize unrestricted access to your personal accounts or devices.
When your access ends
Stop using the system when your authorization ends. Return Company information and equipment, and remove unauthorized copies as directed, subject to applicable law and record-preservation requirements. Do not retain credentials or use another person's account to regain access.
Protected rights and questions
These terms do not restrict lawful discussion of wages, hours, or working conditions; protected collective activity; reporting concerns to government agencies; cooperating with investigations; or other rights protected by law. No Company approval is required for legally protected reporting. These terms do not change your employment agreement, require unpaid work, or waive legal rights. If you need clarification or cannot agree, contact your manager or Company administrator before proceeding. Updated terms will be presented for acceptance.
